Who we are

Macedon Ranges Gas & Air is a trading name of the legal entity that also trades as Melbourne Gas & Air, Macedon Ranges Heating & Cooling, Macedon Heating & Cooling and Macedon Gas & Air. References to "we" and "us" in this policy mean that legal entity. Contact details are on our contact page.

What we collect

Enquiry details you give us through the website enquiry forms, web chat, phone, email or in person: your name, phone number, email address, suburb or town, the service you need, details about your home and system, and any photographs or files you choose to attach.
Job details needed to quote, install, service or repair: property address, access notes, equipment details, and photographs taken during the job for quoting, warranty and compliance purposes.
Program and compliance information required for rebate programs such as the Victorian Energy Upgrades program, including the documentation and photographs the program requires.
Website usage information collected through cookies and analytics (see below), such as pages viewed, device type and approximate location.

How we use it

To respond to your enquiry, quote and carry out work, manage warranties and manufacturer claims, process rebate applications you have asked us to make, send service reminders where you have agreed to them, keep records we are required to keep, and improve the website. We do not sell personal information.

Who we share it with

Our lead management and customer messaging platform (Podium), which receives website enquiries and web chat messages so we can respond to you. When you send an enquiry through the website, the details you entered are emailed to our office, and a copy of the enquiry (your name, mobile number, email address, suburb, the service you asked about and your message, but not your uploaded files) is sent to a mailbox connected to Podium. Podium may create a customer contact and conversation from those details, may send an automated text message to the mobile number you supplied to acknowledge your enquiry, and may create a lead in our job-management software so our team can follow up.
Email and business systems we use to run the business, including job management and accounting software.
Equipment manufacturers, for warranty registration and claims on systems we have installed.
Rebate program administrators and accredited providers, where you have asked us to apply for a rebate, to the extent the program requires.
Analytics providers (Google Analytics and Google Tag Manager) for website usage information. No personal information from enquiry forms is sent to analytics.
Anyone we are required by law to share it with.

Website forms, uploads and security

Enquiry forms and file uploads on this website are transmitted over an encrypted connection, checked on our server before they are accepted, and stored outside the public web folder only for as long as it takes to email them to our office; the server then deletes the uploaded files and keeps a log that contains a reference number and the service and suburb, but no names, phone numbers, email addresses or message text. Uploaded files are limited to common image and document types and to reasonable sizes. Please do not upload files that contain information you do not want us to hold.

The website and its enquiry handling run on hosting provided by GoDaddy, currently in a data centre in Singapore, and the email, messaging, job-management and analytics providers named above (Google, Podium, our email provider and our job-management software provider) may store information outside Australia. Enquiry emails and job records are kept in our office systems for as long as we need them to carry out the work and to meet warranty, tax and other record-keeping obligations.

Cookies and analytics

The website uses Google Tag Manager and Google Analytics to understand how it is used, and the Podium web chat widget to let you message us. These set cookies or similar identifiers. You can block cookies in your browser; the site will still work, though the chat widget may not.

Access, correction and complaints

You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete information we are not required to keep. Contact us using the details on the contact page. If you are not satisfied with our response you can contact the Office of the Australian Information Commissioner.

We update this policy when our practices change. The date at the top shows the current version.
